Documentation Specialist
Job Title: Documentation Specialist
Work Location: Charleston County, South Carolina
Summary:
The Documentation Specialist is responsible for managing and maintaining documentation and records processes, supporting quality management systems, and assisting with document control activities. This role involves collaboration with various departments to ensure accuracy, compliance, and timely handling of documentation tasks.
Responsibilities:
- Oversee the review, release, and revision of policies, procedures, and documentation related to quality management systems.
- Support label production, certificate creation, and accuracy checks for both stock and custom products.
- Assist with customer and sales requests, including providing spare or missing certificates and safety data sheets.
- Maintain and update standard operating procedures and ensure proper archiving of documentation and records.
- Coordinate with multiple departments to ensure secure storage and orderly maintenance of controlled documents.
- Perform document control duties, including posting changes, releasing documents, and maintaining related files.
- Communicate professionally with staff regarding documentation matters and resolve discrepancies with document originators.
- Assist with drafting, implementing, and revising policies, procedures, and work instructions as needed.
Qualifications:
- High School Diploma or equivalent; technical or computer technologies focus is a plus.
- 2-5 years of experience in developing and maintaining procedures, work instructions, or other documentation.
- Knowledge of Windows 10 and Microsoft Office Suite; proficiency in Excel, including pivot tables, is a plus.
- Experience with data entry, database management, and/or document control.
- Strong computer literacy and organizational skills with attention to detail.
- Excellent analytical thinking and problem-solving abilities.
- Ability to work efficiently under pressure and meet deadlines in a fast-paced, collaborative environment.
- Outstanding written and verbal communication skills for clear interaction at all organizational levels.
- Strong work ethic and adaptability within a dynamic and growing environment.
