Job Title: Facilities Coordinator

Summary:
Seeking a proactive Facilities Coordinator to support daily operations within a commercial real estate portfolio. This role offers exposure to building operations, vendor management, capital projects, and tenant services, providing a strong foundation for career growth in facilities management.
Responsibilities:
- Oversee daily activities of service providers, ensuring building services align with operational and tenant standards.
- Act as a main contact for tenants, managing maintenance requests and communicating project updates for prompt issue resolution.
- Track and follow up on tenant work orders to ensure quality service and satisfaction.
- Maintain accurate records for tenants and vendors, including compliance documentation through third-party platforms.
- Assist with computerized maintenance management systems to support preventative maintenance and work order processes.
- Provide operational support for capital improvement projects, including project setup, budgeting, invoicing, and documentation.
- Organize tenant meetings by preparing agendas, scheduling, and recording follow-up actions.
- Draft and distribute communications regarding building operations, maintenance, events, and property updates.
Qualifications:
- Bachelor's degree preferred.
- At least 1 year of experience in facilities management, property management, commercial real estate, building operations, or a related field preferred.
- Knowledge of commercial building systems, preventative maintenance, and facility operations.
- Familiarity with property management or CMMS platforms (such as Angus), building automation systems, or project management software preferred.
- Experience with vendor coordination and contractor management highly desirable.
- Strong customer service orientation and ability to build positive relationships with tenants, vendors, and internal teams.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, especially Excel, Outlook, Word, and PowerPoint.
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Demonstrated problem-solving skills, attention to detail, and ability to work independently while collaborating across teams.
