Work Location: Bexar County, Texas

Summary:

The Manager, Clinical Business Operations is responsible for ensuring the accuracy and integrity of clinical activity data within multiple systems, supporting both clinical and financial operations. This role acts as the primary liaison between the clinical site and finance/operations leadership, focusing on data documentation, billing accuracy, and revenue recovery. The position requires strong collaboration with clinical, pharmacy, and finance teams to ensure all billable activities are properly captured and reconciled.

Responsibilities:

  • Maintain accurate and timely entry of clinical activity data in clinical trial management and financial tracking systems, ensuring compliance with data governance standards.
  • Translate clinical documentation into billing system entries, coordinating with clinical and pharmacy staff to ensure correct coding and charge mapping.
  • Monitor and investigate data discrepancies, initiate corrections per SOPs, and ensure all changes are properly authorized and documented.
  • Track data quality metrics, analyze error trends, and report findings with recommendations for process improvements to leadership.
  • Serve as the primary resource for resolving sponsor or CRO invoice disputes, providing site-level data to support or correct invoiced services.
  • Collaborate with finance and operations teams to monitor accounts receivable status, escalate unresolved payment issues, and troubleshoot upstream data or process issues causing billing errors.
  • Coordinate and triage patient billing inquiries, routing them to the appropriate resources for resolution while maintaining a focus on research billing compliance.
  • Participate in pre-study revenue cycle meetings, review system builds and budget overlays, and document key decisions to prevent billing errors before study activation.

Qualifications:

  • Bachelor's degree in Business Administration, Healthcare Administration, Finance, or related field, or equivalent combination of education and experience.
  • Minimum 3 years of experience in clinical research operations, healthcare revenue cycle, or a combination of both.
  • Experience with clinical trial management systems (OnCore or equivalent CTMS preferred), EDC platforms, and financial systems (NetSuite or equivalent ERP preferred).
  • Ability to identify and resolve data discrepancies across multiple systems and ensure data integrity.
  • Strong written and verbal communication skills, with the ability to translate clinical data for non-clinical finance audiences.
  • High attention to detail and accuracy, especially in data reconciliation and regulated data environments.
  • Understanding of clinical-to-billing terminology translation, including interpreting clinical documentation and aligning it to billing constructs (CPT codes, CTMS milestones).
  • Preferred: Experience in Phase I oncology clinical research, sponsor invoicing/accounts receivable in multi-site research, CTMS build or charge master configuration, and clinical research certification (CCRP, CRA, or equivalent).
