Manager, Clinical Business Operations

Job Title: Manager, Clinical Business Operations

Work Location: Kent County, Michigan

Summary:

The Manager, Clinical Business Operations is responsible for ensuring the accuracy and integrity of clinical activity data within multiple systems, supporting clinical research billing and financial processes. This role acts as the primary liaison between clinical operations and finance, focusing on data reconciliation, billing accuracy, and revenue recovery. The position requires strong collaboration with clinical, pharmacy, and finance teams to ensure all billable activities are properly documented and compliant with regulatory standards.

Responsibilities:

  • Maintain accurate and timely entry of clinical activity data in clinical trial management and financial tracking systems, ensuring all protocol-related activities are captured and confirmable.
  • Translate clinical documentation into billing system entries, collaborating with clinical and pharmacy staff to ensure correct coding and charge mapping for research billing.
  • Monitor and investigate data discrepancies, initiate corrections per standard operating procedures, and ensure compliance with regulatory and change control requirements.
  • Track data quality metrics, error rates, and invoice rejection patterns, reporting trends and improvement recommendations to operational and revenue cycle leadership.
  • Serve as the primary site resource for resolving sponsor or CRO invoice disputes, providing supporting documentation and data to confirm or correct invoiced services.
  • Partner with finance and operations teams to monitor accounts receivable status, escalate unresolved payment issues, and troubleshoot upstream data or process issues causing billing errors.
  • Coordinate and triage patient billing inquiries, routing questions to appropriate billing or patient accounts resources for resolution.
  • Participate in pre-study activation meetings to review system builds and budget overlays, ensuring alignment and preventing downstream billing errors.

Qualifications:

  • Bachelor's degree in Business Administration, Healthcare Administration, Finance, or a related field, or equivalent combination of education and experience.
  • Minimum 3 years of experience in clinical research operations, healthcare revenue cycle, or a combination of both.
  • Experience with clinical trial management systems (such as OnCore or equivalent) and familiarity with EDC platforms and financial systems (such as NetSuite or equivalent).
  • Ability to identify and resolve data discrepancies across multiple information systems.
  • Strong written and verbal communication skills, with the ability to translate clinical data for non-clinical finance audiences.
  • High attention to detail and accuracy, with experience in data reconciliation and regulated data environments.
  • Understanding of clinical-to-billing terminology translation, including interpreting clinical documentation and aligning it to billing constructs (e.g., CPT codes, CTMS milestones).
  • Experience working in Phase I oncology clinical research, sponsor invoicing, or accounts receivable processes in a multi-site research setting preferred.
  • Prior experience in a site-based role with cross-functional accountability to both clinical and finance leadership preferred.
  • Experience with CTMS build, budget overlay, or charge master configuration processes preferred.
  • CCRP, CRA, or equivalent clinical research certification preferred.
