Job Title: Payroll Tax Specialist, Multi-State (Part-Time)
Work Location: Remote
Summary:
Seeking a payroll tax specialist with expertise in ADP Workforce Now and multi-state payroll tax compliance. This part-time, as-needed role involves auditing current payroll tax setups, supporting new state registrations, maintaining compliance, and ensuring payroll accuracy as the organization grows and changes.
Responsibilities:
- Conduct comprehensive audits of current multi-state payroll tax configurations and identify compliance gaps or risks.
- Determine and document what payroll tax filings are handled by ADP versus those requiring direct employer action for each state.
- Register for new state tax IDs, including State Unemployment Insurance and State Income Tax Withholding, as new employees are hired in additional states.
- Set up and maintain Third Party Administrator (TPA) authorizations to enable ADP to file and remit taxes where applicable.
- Manage the unique registration and compliance processes for monopolistic states requiring state-managed workers’ compensation coverage.
- Serve as the primary contact for state agencies regarding unemployment insurance rates, tax ID changes, compliance notices, and related correspondence.
- Review and confirm payroll tax setup accuracy whenever there are changes in employee location, new hires, or multi-state work situations.
- Track and report on the status of all state registrations, ensuring all accounts are active and payroll systems are updated accordingly.
Qualifications:
- Hands-on experience with ADP Workforce Now, specifically in state tax setup and compliance.
- Strong knowledge of multi-state payroll tax compliance, including SUI/UI, state income tax withholding, reciprocity agreements, and state-specific requirements.
- Direct experience registering employers for new state tax IDs and setting up TPA authorizations.
- Familiarity with monopolistic workers’ compensation states and their unique compliance processes.
- Comfortable communicating directly with state agencies (UI departments, state tax/revenue departments).
- Detail-oriented and able to independently audit payroll tax compliance and clearly identify gaps.
- Self-motivated and able to work independently with minimal oversight in a part-time, as-needed capacity.
- Experience supporting multi-state employers during periods of rapid headcount or geographic growth is a plus.
- Background in payroll and state HR compliance is preferred.
